Responsibilit

Lead HR and administration readiness for pre-opening and early-stage company setup, including workplace readiness, office support structure, manpower coordination, onboarding process readiness, and foundational administrative controls.

Coordinate setup of HR files, employee data tracking, attendance process, employee forms, standard letters, and basic HR documentation templates required for launch.

Support early organization setup by coordinating joining schedules, workstation readiness with IT/Admin, induction flow, and employee communication for new hires.

Identify immediate setup gaps in people administration, office support, and internal service standards, and implement practical solutions during the start-up phase.

Oversee day-to-day HR operations including onboarding, confirmation, employee record administration, attendance oversight, leave administration, offboarding, and routine HR employee services.

Ensure employee files, HR letters, contracts, policy acknowledgements, and supporting records are complete, accurate, and maintained with confidentiality.

Guide implementation of HR processes and service standards to ensure consistency, timeliness, and proper control.

• Support recruitment progress in coordination with management and relevant HR team members, ensuring hiring administration, interview scheduling, offer coordination, and onboarding preparation are completed smoothly.

Partner with department heads on manpower planning follow-up, joining readiness, and practical people support during business scale-up.

Ensure recruitment and onboarding execution is organized, documented, and aligned with approved hiring priorities.

Lead office and building administration including workplace readiness, facility coordination, office supplies, stationery, meeting support, and vendor/service follow-up.

Ensure reception, cleaner, security, and related administrative support services operate in an organized manner and meet required service standards.

Maintain administrative records, contracts, stock control, and service logs to support cost control and operational discipline.

Support HR compliance administration by maintaining policy records, employee acknowledgement logs, documentation readiness, and evidence required for internal review or audit support.

Implement practical HR and administrative SOPs, filing discipline, and approval flows suitable for a growing regulated business environment.

Coordinate updates to internal HR and admin documentation to ensure relevance, consistency, and operational clarity.

Supervise HR and administrative support staff and ensure service delivery, attendance discipline, task allocation, and communication standards are maintained.

Provide coaching, guidance, and structure to the team while strengthening accountability and responsiveness.

Identify process gaps, service pain points, and improvement opportunities across HR and admin functions, and implement practical changes that improve efficiency and control.
Quilification
- Bachelor’s degree in Human Resources, Business Administration, Management, or related field is preferred.

6+ years of experience in HR and administration roles, including hands-on HR operations and office administration leadership.

Proven experience supporting company setup, office setup, new team onboarding, or early-stage operational readiness is highly relevant.

Strong practical knowledge of employee lifecycle administration, documentation control, attendance processes, office services, and administrative vendor coordination.

Ability to work in a lean environment and build structure, discipline, and service standards from the ground up.

Experience in financial services, fintech, regulated businesses, or fast-growing start-up environments is an advantage.

Experience supporting policy documentation, HR compliance evidence, and audit readiness is an advantage.

Experience supervising receptionist, office administration, or outsourced support teams is an advantage.

Strong organization, follow-through, and documentation discipline.

Strong people coordination and service mindset balanced with control awareness.

Ability to prioritize setup and operational needs under deadlines with practical judgment.

High integrity, confidentiality, and reliability due to exposure to employee and business-sensitive information.

Role is office-based and may require extended hours during pre-opening, office readiness, mass onboarding periods, or urgent operational matters.

Strict confidentiality is required when handling employee records, compensation information, and company-sensitive documentation.
